The Exams Office

The Exams Office, based at Trowbridge campus, deals with every aspect of examinations including entry forms, setting deadline dates, organising exams and issuing results and certificates. Your certificate will be posted to you within 1 week of us receiving them.

Our department supports students and tutors alike with course queries for those that students have sat as well as those that students are currently sitting. Text messages are sent to students informing them of exam dates and times.

Exam rules

Examination rules are instituted by the Joint Council for Qualifications so that there is a level playing field across the whole country and candidates have equal opportunity - it is our responsibility as a College to enforce these and we are not at liberty to change them or make any concessions. Random Inspections are carried out by JCQ to check that we are running exams correctly and adhering to these rules.

The main conditions are:

  • Students must attend exams they have been entered for. Exams can only be taken on the day and time stated.
  • All late arrivals have to be reported to the Exam Board who have the right to refuse the script. Oversleeping or missing the bus is not an acceptable explanation for lateness. Special Consideration can be given by the Exam Board if a candidate is ill or there are exceptional circumstances, but there must be supporting documentation such as a doctor’s certificate. If this should happen, please contact the Examinations Office for advice.
  • On the day of an exam, they should assemble quietly no later than 15 minutes before the exam is due to start and observe correct behaviour as they enter the exam room and until they are allowed to leave, this includes remaining silent.
  • Under no circumstances must mobile phones, watches, iPods or any other electronic or radio communication devices be taken into an Examination Room. The Exam Boards are very strict on this matter and papers have been cancelled when a candidate has had a mobile phone in their possession. Even if a mobile phone or other device is switched off, it is still classed as unauthorised and you may be disqualified.
  • Pencil cases must be completely transparent. As a general guide, students MUST have 2 BLACK pens/biros, a pencil, rubber and a ruler. Teaching staff will advise for particular exams whether any other equipment will be needed.
  • No items should be on the desk. Correcting fluid or correcting pens are not allowed – corrections should be crossed out, but all work must be submitted. No gel pens or highlighters should be used.
  • Only clear bottles of water with labels removed are allowed, no other types are acceptable.
  • Students must observe absolute silence in the Exam Room and follow instructions given by Invigilators.

GCSEs

The College has a large number of students that sit GCSE English and Maths at each of our four campuses, which is a very important event for the exams team as we want to ensure the best possible experience for each student.

As there are a large amount of rooms used for these exams, we understand that knowing where to be and where you are sat can be confusing.

Therefore, we provide a bespoke letter to each individual learner at least two weeks prior to their exam, telling them the exam they are entered for, what room they shall be in and the seat number they will be sat in. By doing this, we hope that this makes the morning of the exam less stressful for the student, enabling them to perform at their optimal capacity. Additionally, the College provides breakfast for each student on the morning of the GCSE exams which we also hope helps the learner during their exam.

Access Arrangements

Access arrangements is a facility that enables each student to receive an adjustment to their exams conditions, making exams fair across the board. Adjustments come in the form of many things including extra time, scribes and rest breaks where needed. To get an access arrangement for students that are eligible, the students’ tutor must refer them to our Learning Skills and Development Service (LSDS). The LSDS department will then assess the student to gain knowledge of the students’ needs which will then be communicated to and actioned by our department.

It’s worth noting that access arrangements are only valid for 26 months after the assessment has been done. Once they expire, students are required to be re-assessed. Also, there is a deadline for these assessments to ensure that these are in place in good time for their summer exams - this deadline is usually at the end of February but it changes each year. This will be made clear to all relevant people way ahead of time.
